The purpose of this Privacy Policy is to inform you in a transparent manner about how we collect, use, store, share and protect your personal information, in accordance with Law No. 6698 on the Protection of Personal Data (KVKK) of the Republic of Turkey and related legislation.

- Key Definitions (according to KVKK)
Personal data: Any information relating to an identified or identifiable natural person.
Personal Data of Particular Nature (Sensible Data): Data on race, ethnic origin, political opinions, philosophical beliefs, religion, sect or other beliefs, dress appearance, membership in an association, foundation or trade union, health, sexual life, criminal convictions and security measures, as well as biometric and genetic data. Health data is a category of sensitive data.
Processing of Personal Data: Any operation carried out on personal data, whether wholly or partly automated or not, provided that it is part of a data recording system, such as collection, recording, storage, storage, modification, reorganization, disclosure, transfer, acquisition of control, making available, classification or prevention of use.
Person concerned: The natural person whose personal data are processed. (That is, you, the patient).
Explicit Consent: Free, specific and informed consent after being informed.

Identification information: Name, first name, passport number (for Turkish non-citizens), date and place of birth, sex, civil status, nationality, copy of identity card or passport.

Health data: Medical and dental history, information on allergies, results of examinations (radiography, scanners, etc.), diagnostics, treatment plans, consultation notes, information on prescribed medicines, medical reports, dental images, biometric data (dental fingerprints).
Financial data: Invoicing information, payment details (bank account number, IBAN), insurance information.
Communication Data: Recordings of telephone calls (if you contact our call centre), correspondence via e-mail or online forms.

Your personal data is processed by Dentix Clinic for the following purposes, in accordance with the provisions of the KVKK:

Administrative and Financial Management: For invoicing services, processing payments, patient records management, coordination with insurance companies.
Communication: To contact you regarding your appointments, exam results, treatment recalls, important information about your dental health or to answer your questions and requests.

Compliance with Legal Obligations: To comply with the legal and regulatory requirements applicable in Turkey, including those relating to public health, the maintenance of medical records, the declaration to the competent authorities and the management of disputes.
Operations Security: To ensure the safety of our information systems, our premises and the protection of our patients and staff.
- Legal basis for data processing
The processing of your personal data by Dentix Clinic is based on one of the following legal bases, in accordance with Article 5 and Article 6 of the KVKK:
Explicit Consent: For the processing of your health data (sensitive data) and for certain marketing or research activities, your explicit consent will be obtained.
Legal obligation: Treatment is necessary for compliance with a legal obligation to which Dentix Clinic is subject (e.g. health laws, taxation).
Contractual Need: Treatment is necessary for the performance of a contract to which you are a party or for the performance of pre-contractual measures taken at your request (e.g. the provision of dental services).
Legal interest: Treatment is necessary for the legitimate interests of Dentix Clinic or a third party, unless your interests or fundamental rights or freedoms prevail (e.g. system security, service improvement).
Public Health Protection: The processing of health data is authorized for the protection of public health, preventive medicine, medical diagnosis, treatment and care services, planning and management of health services and funding.
- Sharing and Transfer of Personal Data
Your personal data may be shared with the following categories of recipients only when necessary and in accordance with the provisions of the KVKK:
Health Professionals: Other doctors, specialists, analytical laboratories, imaging centres, hospitals, for coordinating your care and obtaining expert advice, with your consent.
Third Party Service Providers: Computer companies, clinic software providers, accounting services, auditors, legal consultants, security services, who act as subcontractors and are contractually required to protect your data.
Insurance Companies: For the management of your reimbursements or the management of your treatments, with your consent or if necessary for the performance of the insurance contract.
Public and Judicial Authorities: When required by law or in response to a valid legal request (e.g., ministries of health, regulators, courts).
Your personal data will not be sold, leased or exchanged for commercial purposes.
- Personal Data Security
Dentix Clinic implements appropriate technical and organizational security measures to protect your personal data from unauthorized access, disclosure, alteration, destruction or accidental loss. These measures include:
Technical Measures: Data encryption, firewall, intrusion detection systems, role-based access controls, regular backups, antivirus protection.

- Duration of Retention of Personal Data
Your personal data is retained by Dentix Clinic for as long as necessary to achieve the purposes for which it was collected, or to comply with the applicable legal and regulatory obligations (e.g. the retention periods of medical records imposed by Turkish legislation). - Your Rights as a Concerned Person (KVKK Article 11)
In accordance with the KVKK, you have the following rights concerning your personal data:
Right of Access: Obtain confirmation that your personal data are processed or not processed, and if they are processed, access to this data and obtain information about the purposes of the processing, the categories of data processed, the recipients, the duration of storage.
Right of Rectification: Request correction of inaccurate or incomplete personal data.
Right to erasure (« Right to be forgotten ») : Request the deletion of your personal data when the legal conditions are met.
Right to Limitation of Treatment: Request the limitation of the processing of your data in certain circumstances.
Right of Option: To oppose the processing of your personal data for reasons related to your particular situation, unless Dentix Clinic demonstrates legitimate and compelling reasons for the processing that prevail over your interests, rights and freedoms.
Right to Data Portability: Receive the personal data you provided to Dentix Clinic in a structured, commonly used and machine-readable format and forward it to another controller.
Right to Withdraw Consent: Withdraw your consent at any time, when treatment is based on your consent. Withdrawal of consent shall not affect the lawfulness of consent-based treatment prior to such withdrawal.
Right to Request Notification: Request that third parties to whom your data has been transferred be informed of any corrections, deletions or limitations made.
Right of Claim: File a complaint with the Personal Data Protection Authority (KVKK) if you believe that your rights have been violated.
Right to Reparation: Request compensation for damage caused by unlawful processing of your personal data.
- Exercise of Your Rights
To exercise your above rights, you can submit your application in writing to Dentix Clinic using one of the following methods:
By e-mail : To [E-mail address of the clinic], using an e-mail address stored in our systems, and attaching a copy of your ID.
In person: By introducing yourself to the clinic with ID.
Your application will be processed as soon as possible and no later than 30 days in accordance with the KVKK.
- Changes to the Privacy Policy
Dentix Clinic reserves the right to amend this Privacy Policy at any time to reflect changes in our data processing practices or legal requirements. Any changes will be published on our website and/or posted at the clinic, with the date of the last update. We encourage you to consult this policy regularly.
